This bookkeeping workload estimate puts transaction volume and accounts on the same scale

Use the calculator before you ask for small business bookkeeping. It turns your monthly transactions and bank or card accounts into a transaction-equivalent workload. The result helps frame a conversation. It is not a price, a tax calculation or a promise.

Enter the activity you can see in one ordinary month

Start with the number of income and expense transactions. Then add every bank or card account that has to be checked. The calculator accepts monthly transactions from 0 to 2000 in steps of 50 and account counts from 1 to 12.

Monthly range contextDiscuss the 150–399 USD / month range

This is a routing aid, not a binding quote. Payroll, business complexity, structure and reporting frequency can change the scope.

Formula usedestimated monthly workload = monthly transactions + (bank and card accounts × 25)

At 250 transactions and 2 accounts, the result is 300 transaction-equivalents. The account factor represents the review effort around each bank or card account; it is not a fee multiplier.

The number tells you where to start, not what to buy

Up to 500 transaction-equivalents points toward the supplied QuickBooks monthly range of 150–399 USD / month. From 501 to 1000, the supplied context is 300–1100 USD / month. Above 1000, ask for a scope review rather than forcing the work into a range that does not describe it.

That distinction is deliberate. A transaction count does not reveal whether the business has transfers between accounts, several card feeds, incomplete receipts or a reporting deadline that changes the rhythm. A small business bookkeeping quote also depends on business structure and whether payroll is present. The calculator exposes the workload you can count. The inquiry fills in what the count cannot.

Neither range is a checkout price. Qulck Boaks does not take payment through this tool. The next step is a conversation about the records, the accounts and the monthly close.

A useful estimate begins with the records behind the count

The number of monthly transactions is easiest to underestimate when receipts arrive in several places. One card feed may carry subscriptions, fuel and client materials. A bank account may include owner transfers that need a different explanation. The calculator cannot classify those lines and should not pretend that it can.

For a better scope inquiry, note the number of bank and card accounts, the approximate transaction count and the frequency of reporting you expect. Mention the business structure. Mention payroll if it appears in the records, even though payroll delivery is not presented as a service here. Those details affect the work before anyone discusses a quote.

The estimate leads to a real bookkeeping conversation

Qulck Boaks supplies bookkeeping for independent operators and small service firms. The work marker supplied by the operator is “QulckBooks 2025”, and the supplied proof is more than 400 businesses in Florida. The calculator does not enlarge either fact. It simply makes the first scope question easier to answer.

There is no fixed lead time hidden behind the result. Lead time is by agreement. There is also no promise that a particular transaction-equivalent number fits every business. A clean inquiry is more useful than a precise-looking output built on missing information.

Count the work you can see. Ask about the work you cannot.
